Altes Imap Konto vorher deaktivieren oder löschen

Neues Konto einrichten und “Exchange und Office365“ wählen

FH E-Mailadresse eingeben und „weiter“ klicken. FH Passwort eingeben und „weiter“ klicken.

Es kommt zweimal eine Anfrage wegen Umleitung (www.fhstp.ac.at & ex.fhstp.ac.at) – „OK“

Gmail weißt hier darauf hin, dass über das Office365 Mailkonto Sicherheitsmaßnahmen aktiviert

werden können (zb. Einbruchversuche, oder ob ein Pin gesetzt ist) bzw. erlaubt auch, das Handy zu

löschen (Wipe) wenn es gestohlen wurde. Dem muss hier mit „ok“ und bei der zweiten Frage

„Geräteadministrator aktivieren“ mit „aktivieren“ bestätigt werden.

Um auch Kalender und Kontakte mit Office365 Mailkonto zu synchronisieren, wird Android auch um

die Erlaubnis zum Zugriff auf den Gerätekalender und Gerätekontakte fragen. Zumindest

Kalenderdaten wäre sinnvoll, Office365 hat einen sehr guten Kalender!

3 Office365 auf Apple Mail (IOS) einrichten

Altes imap Konto vorher deaktivieren oder löschen

Neuen Account hinzufügen „Exchange“. FH E-Mailadresse und Beschreibung (zb. „FH“) eingeben

Du wirst auf die Webanmeldung umgeleitet - „Anmelden“. Das FH Passwort eingeben.

ACHTUNG – ist das Iphone konfiguriert keine

Cookies zu akzeptieren, kann die Einrichtung

nicht abgeschlossen werden!

Bitte dazu in den Einstellungen -> Safari

für die Zeit der Einrichtung die Cookies

erlauben. Bei den Tests war ein Neustart

des Iphone notwendig damit dies aktiv

wurde.

Office365 fragt ob dein Iphone zugreifen darf. Was soll synchronisiert werden?

Zumindest Kalender zusätzlich zu

Mail wird empfohlen.

4 Outlook Web App im Browser

Die meisten Apps unter IOS und Android verlangen bei Einrichtung der Mailbox die Rechte zur

Verwendung des „Geräte Administrators“. Damit kann vom Administrator verlangt werden z.b. dass

der Pin X Stellen hat, oder dass das Gerät verschlüsselt sein muss ABER auch, dass die Daten des

Gerätes gelöscht werden können – zb. im Falle vom Diebstahl oder Verlust.

Ist dies für den User persönlich nicht in Ordnung, kann entweder SMTP oder IMAP verwendet

werden (ohne Kalender und Kontakte) oder simpel die Outlook Web App im Browser (Link siehe

Kaptitel 1)

5 Andere Apps oder Apple Mail, Outlook, WindowsMail

Die Einrichtung ist meist sehr einfach, bestimmte Vorgaben bitte beachten:

• Es ist immer Exchange/Office365 als Typ auszuwählen.

• Die E-Mailadresse und der Benutzername ist gleich (username@fhstp.ac.at)

• Bei manchen Apps ist die Eingabe vom Servername nötig: outlook.office365.com

• Die Synchronisierung von Mails und Kalender wird empfohlen.

6 Imap Zugang für zb. Thunderbird

Wir empfehlen Active Sync / Exchange zu verwenden, wo immer es möglich ist – wenn Imap

dennoch notwendig ist, bitte folgende Daten verwenden:

Imap Server: outlook.office365.com, Port 993

SMTP Server: smtp.office365.com, Port 587

7 Cis LV Kalender in Office365 integrieren

Office365 erlaubt es auch ICAL Kalender wie vom CIS LV-Plan zu integrieren und auch mit vielen Apps zb. am Smartphone anzuzeigen. Dazu muss der Link aus dem CIS kopiert werden:

Dieser kann dann im Webmail von Office365 einfach eingefügt werden:

Zuerst „Kalender“ öffnen, dann „Kalender hinzufügen“ und „Aus dem Internet“ auswählen. Danach die URL vom CIS eintragen und einen aussagekräftigen Namen verwenden. Nach dem speichern taucht der Kalender als „weiterer Kalender“ auf. Je nach App wird der Kalender auch automatisch mitgeliefert (hier Beispiel Gmail)

8 Achtung – neue Filterfunktionen

Outlook Web sowie einige Apps am Smartphone (wie Outlook mobile) versuchen mithilfe von lernfähigen Filtern zu erkennen, welche Nachrichten wichtig oder nicht so wichtig sind. Je nachdem sind diese in „Relevant“ oder „Sonstige“ zu finden. Der Filter kann auch bei jeder Nachricht trainiert werden mit rechter Maustaste und „Immer in Posteingang Sonstige verschieben“ Sollten mal Mails erwartet werden, bitte auch immer in „Sonstige“ nachsehen. Diese Ansicht kann generell auch deaktiviert werden indem der Posteingang mit Relevanz nicht angezeigt wird.

Konversationen werden automatisch nicht als einzelne Mails angezeigt, sondern gruppiert. Auch dies kann bei „Filter“ – „Anzeigen als“ aktiviert oder deaktiviert werden.

9 Migration

Die Migration der Mailbox von Exchange Servern der Fachhochschule zu Office 365 wird im Hintergrund automatisiert durchgeführt. Die gesamte Mailbox mit allen Berechtigungen und Einstellungen wird dabei übernommen. Ist die Migration abgeschlossen, wird im laufenden Betrieb Outlook auffordern einen Neustart durchzuführen:

Bei anderen Apps und Programmen (Thunderbird, Apple Mail, Gmail, etc) muss das Konto zum Teil neu eingerichtet werden, bitte die entsprechenden Abschnitte in diesem Dokument beachten. HINWEIS: Outlook und Webmail unterstützen mit Office365 den sogenannten „Posteingang mit Relevanz“ – versucht also zu erkennen, welche Mails wichtig sind. Siehe dazu Abschnitt 8.

1 Webmail

2 Configure Office365 on Gmail

Deactivate or delete the old FH Imap account first. Then add a new account.

Choose „Exchange“ and/or „Office 365“ as mailbox type.

Enter the email address of the FH and klick next. Enter the password of the FH and klick next.

Two times a notice will appear asking for permission to redirect (www.fhstp.ac.at,ex.fhstp.ac.at).

Gmail gives note to you that while configuring an Office 356 mailbox some securitymeasures will be

needed on your device (eg. Automatic lock when detecting intrusion attempts or a pin must be set on

your device) and the device can be wiped from the user and the administrator (eg. If the device is

stolen). This must be allowed together with the second question for the “Activation of the device

administrator”. If you don’t want that, consult chapter 4.

If you want to synchronize the calendar and the contacts of the mailbox, Android asks for permission

to do that. Calendar is useful as “minimum“ – Office365 does use a very good calendar system.

3 Office365 on Apple Mail (IOS)

Deactivate or delete the old FH Imap account first. Then add a new account.

Add new account - type „Exchange“. Enter FH mail address and a description like “FH”

You will be redirect to the browser for login. Enter the FH password.

Caveat! – If the iphone is configured to not allow

Cookies you have to allow it temporarily.

Please go to the settings and “Safari” and set “block

Cookies” to “allow always” for the configuration. On a

test Iphone a restart of the device was needed.

Office365 asks for permission for the iphone. What do you want to synchronize?

Mail (of course) and Calendar is

recommended as minimum.

4 Outlook Web App in a browser

Most of the apps on IOS or Android asking for permission to use the “Device Administrator” during

the setup of the mailbox. This enables security features like „the administrator forces to have a Pin

with x numbers in place” or “the device has to be encrypted” BUT it offers the possibility to wipe the

device in case of loss or it gets stolen. This can be done from the user and the administrator as well.

If you don’t want that personally you can simply configure the mailbox via IMAP and SMTP (chapter

6) or use the Outlook Web App in the browser (chapter 1)

5 Other Apps or Apple Mail, Outlook, WindowsMail

The configuration is very simple, please have keep in mind as follows below:

• You need to choose Exchange or Office365 as account type.

• E-Mailaddress and FH username is the same (username@fhstp.ac.at)

• Some apps asking for a servername: outlook.office365.com

• The synchronisation of mail (or course) and calendar is recommended as mininum.

6 Imap and SMTP access e.g. for Thunderbird

We definitly recommend Active Sync / Exchange wherever possible – but if you want/need to use

IMAP please use the settings:

Imap Server: outlook.office365.com, Port 993

SMTP Server: smtp.office365.com, Port 587

7 Integrate CIS time table calendar in Office365

Office365 is able to integrate ICAL calendar like the CIS time table and publish the calendar to your smartphone automatically within many apps Please copy the ical URL from the CIS:

Afterwards, add the calendar to your Office365 Webmail:

At first, click on the calendar symbol and choose “Add calendar” and “From Internet”. Then paste the URL from the CIS into the URL field and enter a name for the calendar (e.g. LV-Plan FH). After “saving” you can see the calendar as “other calendar” when finished. Depending on the mail app, the calendar will be shown as second calendar in your mail app (e.g. Gmail)

8 Caution – new Filter features

Outlook Web and some Apps on Smartphones (like Outlook mobile) seek to recognize which mails are important or not as important (“Focused” inbox and “other”) with the help of train-able filters. This filter feature can be trained by right mouse click on an email and “Always move to focused/other” inbox. If you are expecting emails and you don’t find them – please keep in mind to take a look into “focused” or “other” filter. This feature can be turned on or of in the “Filter dropdown” (“show focused inbox”)

Conversations are not displayed as unique mails automatically. They are shown in groups. This can be actived/deactived too within the “Filter” dropdown and “show as” “messages/conversations”.

9 Migration

The migration of the mailbox from Exchange servers of the university to Office 365 is carried out automatically in the background. The entire mailbox with all authorizations and settings will be migrated. Once the migration is complete, Outlook will ask you to restart during operation:

For other apps and programs (Thunderbird, Apple Mail, Gmail, etc), the account must be set up again, please refer to the corresponding sections in this document. NOTE: Outlook and Webmail support the so-called "focused inbox" with Office365. The mailserver aims to recognize which mails are important. See section 8 for details.
